1. Acceptance of Terms
By accessing or using the RentFlow platform, you agree to be bound by these Terms of Service (“Terms”). If you do not agree to these Terms, you must not use the Service.
You must be at least 18 years of age to use the Service. If you are under 18, you may only use the Service with the consent and supervision of a parent or legal guardian.
If you are using the Service on behalf of an organisation, you represent and warrant that you have the authority to bind that organisation to these Terms.
2. Description of Service
RentFlow is a cloud-based property management platform designed for paying guest (PG) operators, co-living spaces, and hostel managers in India. The Service includes:
- Property and room/bed management
- Billing, invoicing, and payment collection
- Resident management and occupancy tracking
- Public-facing property websites (tenant sites)
- Analytics and reporting dashboards
- Communication tools (WhatsApp, SMS, email notifications)
- Maintenance and complaint management
- Meal management and food tracking
The Service is available via web browsers, mobile applications, and APIs. Feature availability is subject to your subscription tier.
3. Account Registration & Security
You must provide accurate, current, and complete information during registration. You are responsible for maintaining the accuracy of your account information.
Each individual may maintain only one RentFlow account. You are solely responsible for maintaining the confidentiality of your password and for all activities that occur under your account.
You must notify us immediately at support@rentflow.in if you become aware of any unauthorised access to your account. We reserve the right to suspend accounts that exhibit suspicious activity.
4. Subscription & Payment Terms
- Free Tier: RentFlow offers a free tier with limited features. No credit card is required for the free tier.
- Paid Tiers: Paid subscriptions are billed monthly or annually, with auto-renewal at the end of each billing period.
- Payment Processing: All payments are processed through Razorpay, supporting UPI, credit/debit cards, and net banking.
- Price Changes: We will provide at least 30 days written notice before any price increase takes effect.
- Refunds: A pro-rated refund is available if you cancel within the first 7 days of a new paid subscription. No refunds are issued after the 7-day period.
- Failed Payments: If a payment fails, you have a 3-day grace period to resolve the issue. After the grace period, your account will be downgraded to the free tier.
- Cancellation: You may cancel your subscription at any time. Cancellation takes effect at the end of the current billing period.
5. Acceptable Use
You agree to use the Service in compliance with all applicable Indian laws. You must not:
- Upload viruses, malicious code, or harmful content
- Attempt to gain unauthorised access to any part of the Service
- Reverse-engineer, decompile, or disassemble the Service
- Resell or redistribute the Service without written permission
- Use the Service for any illegal activity
- Harass, abuse, or threaten other users
You are responsible for all data entered into the platform, including property information and resident data. You must have the legal right to collect and process any personal data you enter about residents.
6. Data Ownership
Your data is yours. You retain all ownership rights to data you input into the Service, including property information, financial records, and resident data.
For resident data, you (the property operator) are the Data Fiduciary under the DPDP Act 2023. RentFlow acts as a Data Processor, processing resident data solely on your behalf and according to your instructions.
You grant RentFlow a limited, non-exclusive licence to process your data solely for the purpose of delivering the Service. This licence terminates when you delete your account.
Upon account deletion, your data will be exported (if requested) or permanently deleted in accordance with our Privacy Policy.
7. Intellectual Property
The RentFlow brand, user interface, source code, documentation, and all related materials are the exclusive intellectual property of FBT Technologies Private Limited.
Accounts on the free tier must display a “Powered by RentFlow” badge on their public-facing property websites. This requirement is waived for paid tiers.
You may not modify, copy, distribute, or create derivative works from any part of the RentFlow software without prior written consent.
8. Public Websites (Tenant Sites)
RentFlow provides each property with a public website at a subdomain ({slug}.rentflow.in). You are solely responsible for the content published on your public site.
We reserve the right to remove content that violates these Terms, any applicable law, or our content policies, with or without notice.
Subdomain assignment is on a first-come, first-served basis. Custom domains are available on Business tier and above.
9. API Usage
API access is available based on your subscription tier. All API usage is subject to rate limits as documented in our API documentation.
API keys are confidential. You must not share your API keys or use them in client-side code. You must not use the API to build competing products or services.
10. Service Level & Availability
We target 99.9% uptime for the Service, excluding scheduled maintenance windows. Scheduled maintenance will be announced at least 24 hours in advance.
We do not guarantee uninterrupted or error-free service. Force majeure events (natural disasters, government actions, internet outages, pandemics) are excluded from uptime calculations.
11. Limitation of Liability
The Service is provided “as is” and “as available” without warranties of any kind, whether express or implied.
To the maximum extent permitted by applicable Indian law, RentFlow shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including loss of profits, data, or business opportunities.
Our total aggregate liability for any claims arising from or related to the Service shall not exceed the total amount paid by you to RentFlow in the 12 months preceding the claim.
We are not liable for outages or failures caused by third-party services including Razorpay, WhatsApp, Exotel, or cloud infrastructure providers.
12. Indemnification
You agree to indemnify, defend, and hold harmless FBT Technologies Private Limited, its officers, directors, employees, and agents from any claims, damages, losses, or expenses arising from:
- Your violation of these Terms
- Your violation of any applicable law
- Content you publish on your public website
- Your collection or misuse of resident personal data
- Any third-party claim related to your use of the Service
13. Dispute Resolution
These Terms are governed by and construed in accordance with the laws of India.
Any dispute arising from these Terms shall be subject to the exclusive jurisdiction of the courts of Bengaluru, Karnataka, India.
Before initiating legal proceedings, both parties agree to attempt good-faith resolution of the dispute within 30 days of written notice. If the dispute cannot be resolved amicably, it shall be referred to arbitration under the Arbitration and Conciliation Act, 1996, with the seat of arbitration in Bengaluru.
14. Termination
You may terminate your account at any time by contacting us or deleting your account through the platform settings.
We may terminate or suspend your account for breach of these Terms, non-payment (after the grace period), or illegal activity. We will provide reasonable notice where possible.
Upon termination, you will have a 30-day window to export your data. After this period, your data will be permanently deleted in accordance with our Privacy Policy.
15. Changes to Terms
We may update these Terms from time to time. For material changes, we will provide at least 30 days written notice via email and/or in-app notification.
Continued use of the Service after the effective date of revised Terms constitutes your acceptance of the updated Terms. Previous versions are available upon request.
